Project Detail — Online Help

Project Detail is the single-job workspace for financial scorecard, production reporting, field photos, materials tracking, job history, and forecasting. Use this guide to see what each tab does and how the pieces fit together. PM training modules below go deeper with step-by-step exercises.

Orientation & Layout

Goal: Open a job, understand what the top of the screen is telling you, and know where every feature lives.

How to Open a Job

From PM Variance, the Operations Center (Gantt), the Project Board, or Command Center, click any job. It opens at project-detail.html?code=JOB-CODE.

Deep-link to a tab with &tab= plus one of: overview, cost, labor, whatif, log, photos, materials-order, materials-delivered. Legacy &tab=forecast opens Overview.

Use ← Back to return where you came from, or the Jump To dropdown to hop to Command Center, Portfolio Map, Pipeline, and more.

The Hero (Top Band)

The first thing you see — a one-line read on the job and its headline margin.

Job Code & Name
The job code and project name, with customer, PM, PEx, and city/state on the meta line.
Status Badge
Green Active or a Complete badge, derived from the job's lifecycle status.
Proj GM% (big number)
Projected gross margin. Colored green ≥20%, amber ≥10%, red below. Prod % Complete sits just beneath it.
MAP & Settings Cog
MAP opens the Portfolio Map focused on this job. The ⚙ cog (owners/admins only) opens Job Editors.

Module 02

The Scorecard — KPIs & Earned Value

Goal: Read the KPI strip and the Earned Value (EVM) terms so a glance tells you whether the job is healthy.

Earned Value Terms (Plain English)

Color Rules You'll See Everywhere

GM% ≥ 20% good GM% 10–20% watch GM% < 10% risk $ variance ≥ 0 $ variance < 0 CPI ≥ 1
Billing/cost mismatch flag: if a job shows heavy billing but ~0% cost incurred, affected tiles (Billed, % Billed, Earned Value) display a warning style. That usually means a data-quality gap, not a healthy job — investigate before trusting the margin.

The Contract Value Bar

Below the KPIs, a four-cell bar shows the math behind the contract: Original Award + Approved Modifications = Current Contract Value, with Forecast Contract Value alongside. This bar also hosts the Ask Pitch and Daily Report buttons (Module 13).

Check yourself: On a live job, point to ACWP, EAC, and CPI in the Overview tab and explain in one sentence each whether the job is ahead or behind.

Module 03

Overview Tab

Goal: Use the Overview tab as your daily 30-second health check on one job.

7-Day Weather
Forecast for the job's coordinates. Days are flagged red for storm/rain/high wind/heat and blue for snow/cold — a quick look at field-day risk.
Cost Variance by Category
Bar chart comparing BAC vs EAC for each cost category (labor, material, sub, equipment, etc.).
Contract & Gross Margin
Award, approved changes, forecast contract value, plus Budget / Proj / Fcst GM% and dollars.
Billing Status
Billed to date, % billed, % cost incurred, over/under billed, retention spread, sales tax.
Earned Value Analysis
BAC, ACWP, ETC, EAC, variance, CPI, earned value, and cost variance in one block.
Progress & CE Projection
Progress bars for % complete / % billed / % cost incurred, plus Cost Engineering projection, property address (street, ZIP), job date, and PM phone/email.
Former Forecast tab: forecast contract values (Contract Summary, Gross Margin) and property/contact details (street, ZIP, job date, PM phone/email) now live on Overview — there is no separate Forecast tab.
Check yourself: From the Overview tab alone, state the job's margin trend (Budget → Proj → Fcst), whether it is over- or under-billed, and confirm the property address and PM contact fields.

Module 04

Cost Variance Tab

Goal: Find exactly which cost category is driving margin up or down, and see the trend over time.

Category Variance Chart
Toggle between Variance and BAC vs EAC views to isolate the categories moving your number.
Cost Trend & Burn
Trend chart (lines / % modes) and a cost-burn chart (area / rate) built from the job's saved history snapshots.
BAC / ACWP / ETC / EAC Table
Row per category (Labor Hours, Labor $, Material, Sub, Equipment, Supplies/Misc) with variance $ and % — green when favorable, red when not.
Labor Rates & Material Detail
Budget / actual / forecast all-in labor rates and a material BAC-through-variance breakdown.
Reading variance: dollar variances are green when ≥ 0 (favorable). Labor-hour variances are inverted — fewer hours than budget is favorable, so negative hour variance shows green.
Check yourself: Identify the single category with the largest unfavorable variance and confirm whether it's a rate problem (Labor Rates) or a quantity problem (Material Detail / production).

Module 05

Production Reporting — By Scope

Goal: Set up your Definable Features of Work (scope lines) and record daily field production so CPI and % complete stay accurate.

Lives in the Labor & Production tab, in the "Production Reporting — By Scope" card. Editing requires owner, delegate, or admin access (Module 14).

Scope Lines (Definable Features of Work)

Add Scope
+ Add production scope opens a modal: description, plan quantity, unit of measure, and budget hours. (On Sub-Contract jobs, budget hours are optional.)
Edit / Reorder
Pencil icon edits a line; drag-drop or the order # reorders lines so the table reads top-to-bottom in field sequence.
Archive / Reactivate
Lines you no longer need can be archived. Toggle Show archived (N) to view and Reactivate them.
Delete
Only available while a line has no production reported against it. Once reporting exists, the line is locked from deletion.
The lock rule: once a scope line has meaningful production reported, its plan quantity, budget hours, and unit of measure are locked. This protects history and CPI from being rewritten. To change a locked plan, adjust through production entries or talk to an admin.

Recording Daily Production

On a scope row, click the + (daily report) button to open the entry modal. The unit of measure for that line is shown next to the quantity field.

Enter units completed for the entry and labor hours spent. A live preview shows Current → Entry → New Total with a color-coded status.

Add a note if useful, then submit. Production is incremental — each entry adds to the running total. The KPI strip and CPI refresh immediately.

Scope Status Badges

Each line shows a colored status badge and a % Complete progress bar in the matching color, so the field's progress is visible at a glance.

Units matter: always confirm the unit of measure before reporting. A common error is calling in square feet against a line measured in SQ (1 SQ = 100 sq ft). If a quantity was reported in the wrong unit, fix it with a corrective entry — see Module 06.
Check yourself: Add a test scope line, record a daily entry, watch the New-Total preview and CPI update, then confirm the line can no longer be deleted.

Module 06

Corrective (Negative) Production Entries

Goal: Safely back out over-reported production — for example when the field called in square feet against a line tracked in SQ.

Why This Exists

Production is append-only, so you never edit a past entry — you post a correcting entry that nets the total to the right number. Negative entries are gated: only the job's PM / PEx owner, a delegated editor, or an admin can post them.

How to Post a Correction

Open the scope line's daily-report modal and enter a negative units value (e.g. -22104) to remove the over-report. Hours may be 0 for a pure quantity correction. For over-reported labor only, enter 0 units and a negative hours value (e.g. -1269).

The live preview shows the new total. The system will not let the running total drop below zero — size the correction to net to the intended figure.

A note is required on negative entries. State why (wrong unit, duplicate entry, mis-keyed quantity).

Submit. The entry is journaled as a PM correction in Job History with a sign-aware label (e.g. -22,104 SQ), preserving the audit trail.
Guardrails: a zero-unit entry is rejected (nothing to record), negatives can't push a scope total negative, and every negative entry must carry a note and is attributed to you. These rules keep corrections honest and traceable.
Check yourself: On a test line with an inflated total, post a negative entry that nets to the correct figure, confirm the required-note prompt, and find the correction in Job History.

Module 07

Manpower & Timecards

Goal: Use Buildertrend timecard data to see who's on the job, how many hours, and where overtime is creeping in.

Found in the Labor & Production tab, "Manpower" card. Read-only field data — sourced from timecards, not entered here.

Manpower KPIs
Total workers, average daily headcount, total labor hours, and active days for the job.
Charts
Daily headcount, daily hours (regular vs OT stacked), and weekly straight/OT/break breakdowns. OT cells fill with color when elevated.
Summary by Person
Sortable per-worker table of hours and overtime across the job.
Recent Roster
Week-by-week roster with avatars (BambooHR photos), qualifications, and distance/geocode hints. Use the week nav to move through the schedule.
Check yourself: Open the Manpower card, find the week with the highest OT %, and name the top two workers by hours from the Summary table.

Module 08

What-If / EAC Forecasting

Goal: Model how cost changes affect the final number, then commit a revised EAC when you're confident.

The What-If tab is visible only to owners, delegates, and admins. Commits are logged and recalculate the job's forecast.

How It Works

Open the What-If tab. A sticky bar at the top tracks Current EAC, What-If EAC, the Delta, and the resulting What-If Fcst GM%.

Adjust the per-category EAC overrides (hours, rate, or dollars). Gross margin recalculates live as you type — nothing is saved yet.

When the model reflects reality, enter a reason / note and click Commit Override. The job's forecast updates and the change is journaled.
Why a reason is required: a committed override changes the job's projected margin that leadership sees. The note explains the assumption (added scope, rate change, productivity loss) for anyone reviewing later.
Can't see the tab? You're likely not the PM/PEx of record and haven't been delegated. Ask the owner to add you via the Job Editors cog (Module 14).
Check yourself: Model a 10% labor-hour overrun in What-If, read the new Fcst GM%, then discard without committing.

Module 09

Materials Order Tab

Goal: Compare the job's imported material plan against invoices and bills of lading scanned in the field.

Requires a material plan imported in the Job Set Up form. Delivery data comes from invoice/BOL photos uploaded on the Photos tab or field mobile app.

Summary header
Estimate total, line count, order status, supplier, source file, and import date. Edit in Job Set Up opens the plan in the variance drawer.
Delivery vs BOL/Invoice
One-line status: how many plan lines are delivered, matched, and qty remaining. While Claude is matching, a green banner shows progress.
Line item table
Columns: Del (✓ delivered, ◐ partial), Delivered, Remaining, Match % (Claude confidence per line), plus plan qty, unit, and cost.
Charts
Cost by section and by manufacturer — same groupings as the material plan import.

How matching works

When you open the tab, the page loads the material plan and any invoice/BOL line items already extracted from field photos.

If delivery paperwork exists, Claude compares each plan line to invoice lines (item identity + quantity). The table fills in while a Rerun in progress… indicator shows in the header.

Click Rerun in the header to force a fresh match and write a DELIVERY UPDATE entry to Job History.
No plan on file? You'll see a link to import materials in Job Set Up. No delivery docs? Upload invoice or BOL photos on the Photos tab — AI extraction runs on upload.

Materials Pull Request (warehouse module) BETA

At the top of this tab, the Materials Pull Request panel validates stock at the nearest hub or forward site and lets the PM Confirm pull request to spawn warehouse + supplier POs. Full workflow: Warehouse Inventory Help ↗.

Quantity rules: qty comes from the document's QTY column, not product dimensions (e.g. 30 Yd dumpster ≠ 30 units). If qty looks wrong, reclassify the photo from the lightbox.

Module 10

Materials Delivered Tab

Goal: Review what invoices and bills of lading have been scanned for this job and the line items AI extracted from each document.

Delivered From chart
Horizontal bar chart of totals by vendor/supplier across all invoice and BOL documents.
Line item detail
Table: date, doc ID, type (Invoice / Bill of Lading), item description, qty, and price per extracted line.
Filters
Filter by document type or uploader when many documents are on file.

Where documents come from

Field crews upload invoice and BOL photos via the mobile app or PM uploads on the Photos tab. AI classifies the image, extracts vendor, date, and line items, and stores them against the job. Those lines feed both this tab and the Materials Order match.

Check yourself: Upload or locate an invoice on Photos, confirm line items appear here, then open Materials Order and verify match % updates.

Module 11

Photos Tab

Goal: Browse field photos, upload new images, and manage receipts, invoices, and job paperwork.

Photo grid
CompanyCam-style gallery with filters by user, date, and tag. Group by date, person, or tag. Click any image for the lightbox.
Upload
Upload photos from desktop. Images are stored on the job log and classified by AI (job site, receipt, invoice, BOL, etc.).
Receipts view
Sub-view for receipt scans — category totals, vendor chart, line items, and flagged personal/non-job spend.
Paperwork types
Invoices, bills of lading, packing slips, material deliveries, fuel logs, and more — each tagged and searchable in Job History.
Materials pipeline: invoice and BOL uploads here (or on field mobile) automatically feed Materials Delivered and trigger delivery matching on Materials Order.

Module 12

Job History & Escalations

Goal: Keep a clean record of what happened on the job, raise escalations, and review the photo timeline.

Posting a Comment

On the Job History tab, type into the comment box. Any signed-in user can post.

Tick Escalatable to flag the note for attention — escalated items can surface in the Command Center queue.

Submit. Your entry joins the timeline immediately, attributed to you with a timestamp.

Reading the Timeline

The timeline merges system events and user comments, color-coded by topic: What-If / EAC assignments delays / escalations production DELIVERY UPDATE. Filter by topic, date range, who updated it, or free-text search. Field photos appear inline — click any photo to open it full-size in the lightbox.

DELIVERY UPDATE entries are written when invoice/BOL paperwork is matched against the materials plan (on upload or when you click Rerun on Materials Order). They summarize match % and per-line delivery status.

Check yourself: Post an escalatable comment, filter the timeline to "production" events, and open a photo in the lightbox.

Module 13

Reports & Assistants

Goal: Generate a Daily Foreman Report PDF, read the auto-generated SITREP, and use the Ask Pitch advisor.

Daily Report (PDF)
From the Contract Value Bar, Daily Report builds a printable Daily Foreman Report — crew/timecards, same-day production, optional SITREP narrative, weather/materials/safety/RFI notes, and a signature block. Downloads as a PDF.
PROJECT SITREP
An AI narrative summary of recent production, generated automatically when you open the Labor tab and cached for ~6 hours. Use Regenerate to refresh it.
Ask Pitch
A PM advisor chat on the Contract Value Bar. Ask questions about the job's numbers in plain language and get a grounded answer.
Daily Report notes are for the PDF: the weather/materials/safety/RFI/foreman fields you fill in the Daily Report modal are captured into that document. They are not stored as separate structured job fields, so keep production and history updates in their own tabs.
Check yourself: Generate a Daily Report PDF for today, confirm crew and production populate, and regenerate the SITREP.

Module 14

Job Editors & Access

Goal: Understand who can edit a job, and use the delegation cog so coverage continues when an owner is unavailable.

Delegating Edit Access

Owners add coverage so What-If and production reporting keep moving when the PM is out — permanent until manually removed.

Click the ⚙ cog next to the MAP button in the hero (visible to owners/admins only). The Job Editors modal opens.

In Add editor, type a name to search. Only PM-app users with a PM or PEx role are eligible — results show name, email, and role.

Click a person to select them (they appear as a chip), then click Add editor. They immediately gain edit rights and see a banner on the job.

To revoke, click Remove on a delegate. Confirm inline (Remove? · Yes / No) right in the row. The change is journaled to Job History.
Delegate banner: when you've been delegated a job you don't own, a blue strip under the hero reads "You can edit this job (delegated by …)" so it's clear why you have access.
The PM/PEx of record always keep access and cannot be removed from the editors list. Delegation only adds people; it never takes the owner's rights away.
Check yourself: As an owner, open the cog, search and add a PM/PEx delegate, confirm their banner appears, then remove them using the inline confirm.

Where the Data Comes From

Goal: Know which numbers are live, where they originate, and why the page reads from two databases.

Project Detail reads job financials and production mostly from the CRM database (wzoby). Every authenticated change — What-If commits, production entries, delegation, job comments — goes through secure Edge Functions on the intelligence database (ydgez), which re-check your permission before writing. You never need to think about this; it just means edits are validated server-side, not only in the browser.

PM Readiness Checklist

Before a PM or Project Executive runs a job from this page unassisted, confirm they can do each of the following.

Open a job by code, read the hero, and navigate every tab (Overview through Materials Delivered).
Interpret Proj/Fcst GM%, Total Var, and Prod CPI — including the color rules.
Define BAC, ACWP, ETC, EAC, Earned Value, and CPI in plain English.
Find the category driving variance on the Cost Variance tab.
Add a scope line and record a daily production entry; explain the lock rule.
Post a negative correction that nets to the right total, with a required note.
Read the Manpower card and spot elevated overtime.
Run a What-If model and commit an EAC override with a reason.
Post an escalatable Job History comment and filter the timeline.
Generate a Daily Foreman Report PDF and regenerate the SITREP.
