Marketing request & intake
Use this guide to submit networking events, sponsorships, and marketing materials to the JR&CO marketing team. Most employees use the company request form; marketing staff use the full intake workspace with calendar tools.
01 — Getting started
Open the form, sign in, and pick the request type that matches your need.
marketing-request.html — simplified header, no internal calendar links. Safe to share company-wide.
marketing-event-intake.html — full intake plus Gantt, Calendar, Dashboard, Approvals, and Admin (role required).
Sign in
Click Sign in (top right). Your email identifies you on the request and pre-fills name, department, and territory from your employee profile when available.
Choose request type
On first load you see two cards:
- Event only — JR&CO is attending, sponsoring, or tracking an external event. No new creative production request.
- Marketing materials — JR&CO needs to produce print, digital, signage, swag, or other collateral. PITCH helps gather details, then you review the full materials form.
02 — Two request paths
Pick the path that matches what you need — do not submit both unless you truly need both workflows.

03 — Event-only form
Sections appear on one scrollable page after you choose Event only.
Fast import (marketing staff header)
- Scan & import — Upload a flyer image or PDF; fields are extracted automatically.
- Import URL — Paste the event or registration page URL; the form pre-fills from the website.
Key sections

| Calendar attendees | Emails you propose for the Outlook invite after approval — not confirmed attendance. Marketing or the host confirms who actually attends. |
04 — Marketing materials (PITCH + form)
Collateral requests start with PITCH, then a review form you can scroll and edit before submit.
Step 1 — Talk to PITCH
PITCH is the marketing materials assistant. It asks a few questions one at a time about what you need, the occasion, audience, and timeline. You can skip to the manual form if you prefer.
Step 2 — Review pre-filled form
When PITCH has enough information, click Review pre-filled form. All sections appear on one scrollable page:
- Request summary and your profile (pre-filled)
- Request type, priority, project name
- Audience, messaging, deliverables
- Print / digital specs, timeline, event date (for event-support materials)
- Budget estimates and design-time reference
- Review checkbox — confirm accuracy before submit
Step 3 — Submit
Click Submit marketing request. The materials request goes to the approval queue and an event profile is created or linked automatically for the occasion date.
05 — After you submit
Every submission routes through the marketing approval workflow — not your supervisor.
Approval queue
Requests are reviewed by the marketing team in tiers based on estimated cost:
- Level 1 — Marketing coordinator
- Level 2 — VP Marketing (higher-cost requests)
- Leadership — Executive leadership (highest tier)
On the success screen, use Track approval status to open your submission. Statuses include Pending, Needs information, Approved, or Rejected.
Needs information
If marketing needs more detail, the request returns to you. Open the link from your email or the track-approval page, update the form, and resubmit.
After approval
Approved events are pushed to the marketing Outlook calendar. Materials work is scheduled by the marketing team according to your timeline and priority.

07 — FAQ
Which link should I share with the company?
Use marketing-request.html. It opens the same intake form without internal navigation.
Do I need a job code for materials?
Only if you know one. PITCH will not ask for a job code unless you mention it. Linking to an existing proposed event is optional in the materials form.
Event only vs. marketing materials?
If JR&CO must produce creative work, use Marketing materials. If you only need the event on the calendar and internal coordination, use Event only.
Who gets the approval email?
The marketing approver at the current tier (coordinator, VP, or leadership), not your direct supervisor.
Something failed on submit
Check that you are signed in, required fields are complete, and event dates are valid. If you see a persistent error, contact marketing with the time of submission and your email.
